Privacy Policy

Ignite Consulting, LLC (“Ignite,” “we,” “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and safeguard information when you visit our website or engage with our services.
Information We Collect
Website visitors. When you contact us or submit a form on ignitena.com, we collect:
- Names, phone numbers, and email addresses
- Job titles and company names
- Project details or messages submitted through contact forms
We also automatically collect certain technical information, including IP addresses, browser type, pages visited, and general usage patterns through standard analytics tools.
OCM Plugin users. The Ignite OCM Plugin runs inside Claude Cowork (an Anthropic product). Content entered into Plugin sessions — including project details and organizational information — is processed directly by Anthropic on your behalf. We do not separately collect or store Plugin session content.
OCM Portal users. The Ignite OCM Portal (ocm-portal.ignitena.com) is an authenticated application. When you create an account and use the Portal, we collect and store:
- Account information — name, email address, and organization name provided during registration or access request
- Authentication data — sign-in method (Microsoft SSO or email/password), account role, and trial expiry date where applicable
- Engagement data — engagement names, client organization names, go-live dates, practitioner context, and any additional context you enter when setting up an engagement
- Conversation history — your messages and AI-generated responses, retained per engagement to support continuity across sessions
- Generated artifacts — OCM documents and spreadsheets generated through the Portal, stored in our database until you delete them or your account is closed
- Usage data — token counts per AI request, used for service monitoring and billing reconciliation
- Feedback — any feedback you voluntarily submit through the Portal interface
How We Use Your Information
We use the information we collect to:
- Respond to inquiries and deliver consulting services
- Operate and deliver the Ignite OCM Portal, including authenticating users, maintaining engagement history, generating artifacts, and serving files
- Communicate with prospective and existing clients about engagements and program materials
- Monitor service performance and usage patterns to improve our products
- Send relevant updates or marketing communications (you may opt out at any time)
AI Tools and Third-Party Processing
Both the OCM Plugin and the OCM Portal are powered by Anthropic's Claude AI. The following protections apply to all Anthropic API usage under Anthropic's data retention policy:
- Not used for model training. Anthropic does not use API inputs or outputs to train its models without your express permission.
- Minimal retention at Anthropic. Conversation content passed via the API is not retained by Anthropic beyond what is technically necessary to return a response.
- Zero Data Retention (ZDR) eligible. The Claude Messages API is eligible for Anthropic's Zero Data Retention arrangement — meaning session data is not stored at rest on Anthropic's servers after the API response is returned.
- Anthropic Trust Center. Full compliance, security, and audit documentation is available at trust.anthropic.com.
Important distinction for OCM Portal users. While Anthropic does not retain your conversation content on its end, the OCM Portal itself stores your conversation history, engagement data, and generated artifacts in our own database (hosted on Railway) to provide continuity across sessions. This data is stored by Ignite Consulting — not Anthropic — and is subject to the retention and deletion terms described in this policy. You may request deletion of your Portal data at any time by contacting us.
Ignite Consulting cannot independently verify or guarantee how Anthropic processes data in all circumstances. We encourage you to review Anthropic's Privacy Policy directly for the most current information.
Users of the OCM Plugin and OCM Portal should not enter personally identifiable information about individual employees into sessions. Both products are designed for organizational-level data only.
Information Sharing
Ignite Consulting, LLC has not sold personal information to third parties and does not sell your personal information.
We use the following service providers who may process your data as part of operating our services:
- Anthropic, PBC — AI processing for the OCM Plugin and OCM Portal. Privacy Policy
- Google Firebase — User authentication and account management for the OCM Portal. Privacy Policy
- Railway — Database hosting (PostgreSQL) and server infrastructure for the OCM Portal. Privacy Policy
- Vercel — Website hosting for ignitena.com. Privacy Policy
- Resend — Transactional email delivery (access confirmations, password resets, notifications). Privacy Policy
- Cloudflare — Bot protection on access request forms. Privacy Policy
We also use standard business productivity tools — including email, document collaboration, and internal communication software — to conduct our operations. Information you share with us (such as through email or contact forms) may be processed through these tools.
We may also share information with legal or regulatory authorities when required by law or to protect our rights, and with successor entities in the event of a merger, acquisition, or transfer of business assets.
Data Retention
Retention periods differ by product and data type:
- Website contact forms. Information submitted through ignitena.com contact forms is retained for up to one year from the date of submission, unless an ongoing engagement or legal obligation requires otherwise.
- OCM Plugin. Session content is processed by Anthropic and is not separately stored by Ignite Consulting. Anthropic's own retention terms apply.
- OCM Portal — account and engagement data. Your account information, engagement metadata, conversation history, and generated artifacts are retained for the duration of your active account. When your account is closed, data is deleted within 90 days unless a legal obligation requires extended retention.
- OCM Portal — usage logs. Token usage logs are retained for up to two years during an active account for billing reconciliation and service monitoring. All usage logs are deleted within the 90-day window following account closure.
You may request deletion of your OCM Portal data at any time by contacting us at the address below.
Security
We implement reasonable technical and organizational measures to protect your information, including HTTPS encryption for all data in transit, Firebase-managed authentication with role-based access controls for the OCM Portal, and database hosting on Railway with access restricted to application services. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
Your Rights
Depending on your location, you may have certain rights regarding your personal information, including:
- Access — request a copy of the personal information we hold about you
- Correction — request that we correct inaccurate or incomplete information
- Deletion — request that we delete your personal information, subject to legal obligations
- Opt-out — opt out of marketing communications at any time
Residents of California, the European Economic Area (EEA), and the United Kingdom (UK) may have additional rights under applicable privacy laws. To exercise any of these rights, please contact us at the address below.
